8 Diary                    `            <        @ AAAAAAAAAA                                   2    8.  The Diary.      8.1     Introduction.      KeyPlan is a page-per-day diary, which allows you to make notes     and reminders for each day of the year.  You may also enter     appointments for particular times, reschedule them, and include     an audible alarm with any appointment.     	 The commands you will use with the diary are similar to those    
 used in the Word Processor.  If you have not used KeySoft before,     you may want to practice with a trial document before using the     diary.  
    To start the Diary from the KeySoft Main Menu, use the Right and     Left Arrow keys to listen to the items in the menu, until "Diary"     is announced, and then press Enter.  Alternatively, press "D".      You may use the carousel feature to start the Diary from anywhere     in KeySoft; just press F6.  If you leave the Diary by using the     carousel, then F6 will return you to the same point.      8.2     The KeyPlan Menu.      When you start the Diary, the first announcement you will hear     is: "KeyPlan Menu".  If you press RIGHT ARROW, you will hear the     three choices in this menu, namely:      Edit diary, Print diary, and Setup Options.      To select one of these items, use RIGHT and LEFT ARROW until you     hear the required function, and then press ENTER. Alternatively,       press E, P, or S.  If you want to make entries in the diary, or    ! review its contents, choose "Edit diary". This option will be    " described first, followed by Print and Setup.  #   $ 8.3     Selecting the Date.  %   & 8.3.1   Using the Calendar.  '   ( When you select the "Edit" option, you will hear:  )   *    "KeyPlan calendar.  Day?  Press Enter for today's date."  +   ,    A calendar is being presented on the screen, with today's date    highlighted.  If you press ENTER, you will be placed at today's    diary page.  You may choose a different day by moving the    highlight, and the corresponding date will be announced.  The    highlight may be moved as follows:    By day, use             LEFT and RIGHT ARROW.  By week, use            UP and DOWN ARROW.  By month, use           PAGE UP and PAGE DOWN. 	 By year, use            TAB and SHIFT TAB. 
   If you are using a portable computer, PAGE UP and PAGE DOWN may    be obtained by a combination of keys such as Fn with UP or DOWN   
 ARROW. 8.3.2   Typing the Date.    You may also type the required date.  The way you enter dates    should agree with the KeySoft date format setting; either    day-month-year, or month-day-year.  You can hear the date format    by pressing the Help key, F1, or you can check or change the date    format with the Utilities option in the KeySoft Main Menu.    You may type the date with an abbreviated month: for example,    25 dec 94. or  dec 25 94.    You may also use numbers separated by a slash or space, in the    form:    25/12, or  12/25,     depending on the date format.  If you omit the year, then the   ! current year is assumed.   "  # When you have selected or typed the date, press ENTER and you   $ will be placed in the required diary page.  If you have selected   % today's date, the cursor will be placed at the beginning of the   & next appointment for today, if one exists. This allows you to   ' check your next appointment very quickly. For other dates, the   ( cursor will be at the top of the page, ahead of any existing   ) entries. *  +    8.4     Page Layout.    The diary is laid out as a page-per-day desk diary.  Each day    starts on a new page.  The date appears at the beginning of the    first line.  It is followed on the same line by any unscheduled    text, such as a note or reminder, which is not associated with    any particular time.  The text may use as many lines as required.     These lines are not indented.   	 The scheduled appointments then follow.  Each of these starts on   
 a new line, and begins with a time.  The text follows on the same    line.  If the appointment text occupies more than one line,    subsequent lines are indented to match the first. 
   When an appointment is scheduled or rescheduled, it is placed on    the correct page, and is sorted into time order with other    entries.    The line and page formats of the diary may be changed with the    commands CONTROL with L, and CONTROL with P, respectively. These    work in the standard KeySoft manner, except that the Line format    applies throughout the current year, like the Page format.    8.5     Entering Text.    8.5.1   Unscheduled Entries.    To make an unscheduled entry, first select the date.  The cursor    will be placed ahead of any text which may already be on the    page.  If the page is blank, then just start typing. If there is    already text on the page, check that the cursor is in the right    place before typing.  You may move the cursor to a different     point in the text by using the reading commands. These are   ! similar to KeyWord commands, with some differences which are   " described later. #  $ When you have finished typing an entry, you do not need to press   % ENTER at the end unless you require a new line. &  ' If you have selected today's date, the cursor will be placed on a   ( scheduled appointment, if one exists.  You may use the reading   ) commands to relocate the cursor, or you may move to the top of   * the page by pressing +  , READ with T. -  .    8.5.2   Scheduled Entries.    From any diary page, press    CONTROL with INSERT.    You will hear:    "Appointment day?  Press ENTER for the current day." 	  
 KeyPlan is presenting its calendar.  If the offered date is    correct, just press ENTER.  Otherwise, choose the required day by    using the ARROW, PAGE or TAB keys to select a calendar date, or   
 type the required date, and then press ENTER.  The next prompt    will be:    "Appointment time?"    The way you enter appointment times should agree with the setting    of 12 or 24 hour format, which you hear by pressing the Help key,    F1.  You can check or change the time format with the Utilities    option in the KeySoft Main Menu.  Enter a time in the form:    hh:mmp    where "hh" is hours and "mm" is minutes, separated by a space,    period or colon.  You may abbreviate an entry with fewer digits    and no separator, if it is unambiguous.  The last letter is "a"    or "p", to denote before noon and after noon. This is not needed    in 24 hour format.  Press ENTER, and you will hear:    "Appointment title?"    ! At this point you may type up to one line of text, which will be   " inserted after the time.  If necessary, you may add further lines   # of text after you have finished scheduling this entry. When you   $ have typed a maximum of one line, press ENTER.  If the   % appointment time is in the future, you will be asked: "Do you   & wish to set an alarm on this appointment?"  If you do not, press   ' "N".  Otherwise, press "Y", and you will hear the prompt:  (  ) "Warning time?  Press ENTER for the default time." *  + This feature will sound the audible alarm before the scheduled   , appointment time.  Press ENTER to accept the offered value, or - type the number of minutes of warning required, between 0 and   . 120, and press ENTER.  You will then hear, /  0    "Appointment scheduled".    The time will be inserted in the diary page, on a new line,    followed by your text.  The entry will be sorted into the correct    time order for the current date, and the cursor will be placed    just after the new entry.    To make another entry, press CONTROL with INSERT again.  You do    not need to be in the required place in the diary, as you will be   	 prompted for the date and time; the new entry will be sorted into   
 order with existing entries.    8.6     Reviewing the Appointments. 
   8.6.1   The Review Commands.    Most KeySoft review commands are available in the diary, but two    groups of commands are somewhat different:    To read the previous, current, or next entry for the current   day, press READ with U, I, or O.  This action will read one   complete appointment, or a line of unscheduled text.  The   cursor moves to the beginning of the new appointment or line   for U and O, but does not move for I.    To read all the text for the previous, current, or next day,   press READ with 7, 8, or 9.  Both scheduled and unscheduled   text will be spoken.  The cursor moves to the top of the new   day for 7 and 9, but does not move for 8.    Repeated use of the previous or next commands will move the    cursor through the diary.  A beep will indicate that there is no     entry to read. !  " You may also step a line at a time and read it with #  $ UP and DOWN ARROW. %  & To move the cursor to the top or bottom of the current day, press '  ( READ with T or B. )  * To stop speech at any time, press +  , READ with SPACE. -  .    8.6.2   Your Next Appointment.    From any point in KeySoft you can hear your next appointment,    without leaving what you are doing, by pressing    SHIFT with F6.    Alternatively, enter KeyPlan and select today's date in the    calendar.  This will place you at your next appointment for the   	 day, if there is one. 
   8.6.3   Finding an Appointment.   
 You may need to find an appointment whose date you have    forgotten.  If you remember a word, name or phrase in the text,    then use the Search, or Find, command.  From any point in a diary    page, press,    READ with F.    You will hear:    "Find.  Search forward or Back?"    To search forward in time from the current cursor position, press    F; to search backwards, press B.  You will then hear:    "Find?  Press ENTER for rabbit."    You are being asked for the text you wish to find.  Type the text    and press ENTER, or just press ENTER for the offered text, which    is the last text that KeySoft searched for.  If the text is     found, the cursor will jump to the first occurrence of it, and   ! you will hear: "  # "Found", $  % followed by the text.  You can read the appointment text by   & pressing READ with I, and you can query the date by pressing READ   ' with Q. (  ) If the word cannot be found, you will hear: *  + "Can't find", ,  - followed by the word, and the cursor will return to its original   . place. /  0    The text may appear more than once in the diary, so you may not    find the required appointment on the first try.  To continue the    search, press READ with F, and then press ENTER to accept the    offered search text.    8.7     Editing the Appointments.    After you have made entries in the diary, you may review or edit    the text, delete or move it, and change its layout.  Most of the   	 KeySoft commands are available for editing.  For example, READ   
 with K will read the word under the cursor, and CONTROL with K    will delete the word under the cursor.  The Block Menu, obtained    by pressing CONTROL with B, provides the same marking, cutting   
 and pasting operations which are available in the Wordprocessor.    There are some minor differences.  CONTROL with I will delete the    whole of the current appointment if it is scheduled, or just from    the cursor to the end of the line if it is unscheduled.    8.8     Selecting Another Date.    You may move backwards or forwards to a different date within the    diary, without going to the calendar. This may require the use of    PAGE UP or PAGE DOWN.  These are obtained by holding down the Fn    key, at the bottom left of the keyboard, and pressing UP or DOWN    ARROW.    To move by day, press:PAGE UP or PAGE DOWN.   This will also cause the new day's   entries to be spoken.    To move by week, press:READ with PAGE UP or PAGE DOWN.    ! To move by month, press:CONTROL with PAGE UP or PAGE DOWN. "  # To move by year, press:ESCAPE to go to the calendar, then  $ use TAB or SHIFT TAB to select the  % year. &  ' To move to a specific date, ( press:ESCAPE to go to the calendar, then  ) select or type the required date. *  + To query the current date, , press:READ with Q. -  .    The day and date will be spoken, and the time of the current    entry if it is scheduled.  Today's date can be checked with the    KeySoft command, READ with F6.    8.9     Rescheduling and Canceling.    You may reschedule an appointment for a different day or time.    Position the cursor anywhere in the required entry, and press    	 CONTROL with R. 
   You will be presented with the calendar, and asked: "Reschedule    to which day?  Press ENTER for the current day." 
   Select the required day, and you will then be asked for the new    time.  Type a time and press Enter.  The entry will be    rescheduled for the chosen day and time.    You may remove an appointment by deleting the text and its time,    but a single command can do this.  To cancel an appointment,    including its time, position the cursor anywhere in the required    entry and press     CONTROL with I.    You will be asked to confirm your intention, so press "Y".  If    the cursor is placed in unscheduled text when you press CONTROL    with I, then just the text from the cursor position to the end of    the current line will be deleted.    8.10    Alarms.     8.10.1  When Alarms Sound. !  " An alarm will ring at its programmed time.  A battery-powered   # computer may switch itself on to ring an alarm if the power   $ management software has been set up correctly. %  & When an alarm rings, it will continue for the "Alarm ringing   ' time".  It will then be silent until: (  ) the "Alarm repeat time" has elapsed, OR a key is pressed, OR  * the computer is switched on again, if it is battery powered. +  ,    8.10.2  Acknowledging an Alarm.    To acknowledge an alarm which has sounded, press    Read with SPACE.    KeySoft will say: "Alarm option menu."  The four possible actions    at this point may be heard by pressing RIGHT ARROW. They are:   	 1.   to Cancel the alarm, press C. 
   2.   to Read the alarm details without canceling,  press R.   
 3.to Postpone the alarm, press P.  You will be asked how long   you wish to postpone the alarm.    4.to Go to the corresponding appointment in the diary, press   G.  The alarm will be canceled, and the cursor will be   placed at the start of the appointment.    If you happen to be using the MS-DOS option when an alarm sounds,    you must return to KeySoft to acknowledge the alarm. To do this,    go to the DOS prompt, type "exit", and press ENTER.    If you have elected to use MasterTouch at the MS-DOS option, then    alarms will not sound while you are using DOS or an application    program. Any missed alarms will be reported when you return to    KeySoft, as described in section 8.10.5    If you are running under Windows, then KeySoft alarms will still    sound while you use different tasks,, assuming background    execution of KeySoft is enabled in the ks.pif file. This is the     default setting. !  " 8.10.3  Alarm Status. #  $ You may review or change the alarm status of an appointment. To   % do this, enter the Diary, position the cursor anywhere in the   & required entry and press '  ( CONTROL with A. )  * A message will say whether the alarm is set or not, and you will   + be asked whether you want to change it.  Press Y or N as   , required.  If you are setting an alarm, you will also be asked   - for the warning time.  Press ENTER for the offered time, or type   . a new value. /  0 	   8.10.4  Alarm Settings.	  	  The ringing and repeat times have the same values for all alarms.   	  To review or change the settings, first move to the KeyPlan menu.   	  If you are in a diary page, press ESCAPE until the menu is  	  announced.  Then press S, or select "Setup options" from the menu  	  and press ENTER.	  	  KeySoft will announce, "KeyPlan setup list."  Press RIGHT ARROW,  	 	 and you will hear:	 
 	  "Alarm ringing time?  Currently 30 seconds."	  	 
 An audible alarm will sound for this duration, before it turns  	  itself off.  To change the value, type the required number of  	  seconds, between 5 and 600, and press ENTER.	  	  Press RIGHT ARROW again and you will hear:	  	  "Alarm repeat period?  Currently 10 minutes."	  	  This is the period of time for which the alarm will be silent,  	  before it sounds again.  To change the value, type the required  	  number of minutes, between 1 and 60, and press ENTER.	  	  8.10.5  Alarms in MS-DOS.	  	  If you happen to be using the MS-DOS option at the time of an  	  alarm, a spoken message will advise that an alarm has occurred.   	  You cannot acknowledge this alarm until you quit MS-DOS and  	  return to KeySoft. 8.10.6  Alarms While KeySoft Is Not Running.	  	   If  you are using an AC powered computer, it may be switched off  	 ! when an alarm should ring.  When you next switch on the computer  	 " and start KeySoft running, you will hear a 'beep', and KeySoft  	 # will say, "You have missed N alarms.  Review or clear?"  The two  	 $ possible actions at this point may be heard by pressing RIGHT  	 % ARROW.  They are:	 & 	 ' 1.to Cancel all missed alarms, press C.	 ( 	 ) 2.to Read all missed alarms and cancel them, press R.  For 	 * each missed alarm you will hear the name, date and time of 	 + the appointment.  The list will include any appointments 	 , whose warning time has passed.  After each announcement, 	 - press ENTER and KeySoft will progress to the next.	 . 	 / 
   8.11    Printing.
  
  To print part of the diary, first move to the KeyPlan menu. If  
  you are in a diary page, press ESCAPE until the menu is  
  announced.  Then press P, or select "Print diary" from the menu.  
  You will be asked:
  
  "Print from which date?  Press ENTER for the current date." 
  
 	 You may accept the offered date, or type a different date, or  
 
 choose the starting date from the calendar which is being  
  presented. The next prompt is:
  
 
 "Print up to and including which date?"
  
  Select a finishing date, in the same year.  When you hear,  
  "Printer ready?" press "Y" and printing will begin.
  
  If you want more than one copy, press "N", and you will be asked  
  for the number of copies.  Enter a number, press ENTER, and you  
  will be placed at the "Printer ready?" prompt again.
  
  The Diary shares its printer settings with the Word Processor.  
  There are four items which may be changed, namely: 
  
  printer port,
  page offset,
  pause after each page, and
  printer type.
  
  For information about these settings, and functions such as  
  pausing and canceling, please read section 5.5.
   
 ! 8.12    Quitting.
