2 Operating basics         `            <        @ AAAAAAAAAA                                   2    2. Operating Basics.      2.1     General.      This chapter introduces some of the important concepts of KeySoft     and provides an introduction to its operation.      2.2     Important Concepts.     	 In developing KeySoft, every effort has been made to make the    
 product friendly to the user.  The operating philosophy is based     on the following important concepts.     
 2.2.1   Help Messages.      At any point in KeySoft operation you may press F1, the HELP key,     to obtain information on your options at that point.  In the     early days of using KeySoft, you are urged to use the HELP key     frequently.   It will not in any way compromise your current     work, and after the "Help" message has been spoken, you can     return to exactly same point from which you selected "Help".      2.2.2   Prompts.      Whenever KeySoft needs your response, a message will be spoken in     plain English to indicate what is required.  These messages are     brief, but should serve to remind you of the responses required.      If you are unsure how to respond, press the HELP key to obtain     further help.  Where possible, KeySoft will offer your most     recent choice as the default option.      2.2.3   Menus.      ! KeySoft uses a series of "Menus" to provide a quick and easy way    " of performing many complex functions.  Each menu contains a list    # of options from which a selection can be made.  For example, the    $ Main Menu allows you to select the Wordprocessor, Diary,    % Terminal, and so on.   &   ' 2.2.4   Directories.  (   ) KeySoft maintains Directories or lists of all files on disk.  * These Directories are immediately available whenever a file    + selection is required.  They can be    inspected further to obtain information such as the file size    and type, and the date they were last amended.    2.2.5   Error Messages.    If KeySoft is unable to obey a command you enter, it will speak    an explanatory error message.  These messages are brief but they    should indicate why KeySoft cannot proceed.   A beep is sounded    if you press a wrong key or the function you have selected cannot   	 operate. 
   2.2.6   Abandoning The Current Activity.   
 Another concept used throughout KeySoft is that of "escaping", or    abandoning what you are currently doing and taking one step back    to the previous option.  You can do this by pressing the ESCAPE    key.     2.2.7   Automatic Cut-Off Of Speech.    KeySoft gives detailed prompts and messages to help a novice. To    avoid these messages slowing down an experienced user, all such    messages are cut off immediately a key is pressed.    2.2.8   Instant Access.    You may switch from one KeySoft application to another with a    single key press.  This is called the "Carousel" function. For    example, you may switch from the Wordprocessor to the Diary, and    then return to the same point in your document.    2.3     The Keysoft Keyboard.    ! 2.3.1   Introduction. "  # This section introduces the Keyboard Learn mode, and describes   $ the purpose of the main keys and key combinations, and the   % KeySoft functions which are allocated to them. &  ' 2.3.2   Keyboard Learn. (  ) KeySoft has a special mode called "Keyboard Learn", in which the   * name of a key is spoken when you press it.  This can help in   + three ways: ,  - 1. If you are beginning, you can learn the general layout of  . the keyboard.  / 2. If you are more experienced, you can find the  0 less-frequently used keys.   3. You can learn the layout of non-standard keyboards used   by different computers.    We suggest that the first thing you do, when KeySoft is running,    is to select Keyboard Learn mode and check out the keyboard    layout.  If you have just started KeySoft, you will have heard,    "Main Menu".  If you have done something subsequently, you can    return to this point by pressing F3.   	 From the "Main Menu" message there are two ways to select   
 Keyboard Learn mode.  You may press the RIGHT ARROW key    repeatedly to step through the options, and when you hear KeySoft    say, "Keyboard learn", press the ENTER key. Alternatively, just   
 press the "K" key.    KeySoft will say, "Keyboard Learn mode.  To hear the function of    any key, just press the key or key combination.  To return to the    Main Menu, press the ESCAPE button".    You may now explore the layout of your keyboard.  At each press,    the name of the key will be spoken but no other action will    occur.  For example, if you press the BACKSPACE key, you will    hear, "Backspace", but nothing will be deleted. The name of the    actual function will be spoken if you press a Function key, or    its combination with READ, SHIFT or CONTROL  For instance, if you    press READ with F1, KeySoft will say, "Access the User's Manual".    A portable computer may have a special Fn key, often at the    bottom left-hand corner of the keyboard, which will not be    announced in the Keyboard Learn mode. When you feel that you know    the keyboard layout well enough, press ESCAPE to return to the    Main Menu.  You may use Keyboard Learn mode again as you wish to     identify particular keys. !  " 2.3.3   The Function Keys. #  $ The Function Keys are normally located on the top row above the   % typewriter keys.  In the usual layout, the ESCAPE key at the top   & left of the keyboard.  To the right of the ESCAPE key there are   ' 10 or more function keys, labeled F1, F2, and so on, from left to   ( right. )  * The following section briefly describes the action of each of   + these keys.  More details are given in appropriate later   , chapters. -  .    ESCAPE.The ESCAPE key is widely used throughout KeySoft's   operation.  It allows you to take one step back to the   last option point.  You can use the ESCAPE key to   abandon an operation which is partly completed or to   leave a directory, for instance, once you have found   what you are looking for. If you press ESCAPE   repeatedly you will eventually return to the MAIN MENU.    HELP.Press F1, the HELP key, to hear a help message  	 applicable to the current operation.  After the help  
 message has been spoken, KeySoft returns to the point   from which help was selected, and re-announces the   prompt message or the word at the current cursor  
 position.    Press READ with HELP to access the User's Manual on   disk.     REPEAT.Press F2, the REPEAT key, to repeat the last message or   prompt spoken.  Use it, for instance, if you did not   clearly hear or understand a prompt.  If you press   REPEAT part way through an entry, KeySoft will clear   the entry and repeat the prompt.    Press SHIFT with REPEAT to hear the last prompt,   including punctuation details.    Press READ with REPEAT to spell the important parts of   the last prompt.    MENU.Press F3, the MENU key, to return to the MAIN MENU of   KeySoft, from which you can choose the wordprocessor,    scientific calculator, diary, etc. !  " WORD.Press F4, the WORD key, to directly access KeySoft's  # wordprocessor, KeyWord. $  % CALC.Press F5, the CALC key, to directly access KeyPlus, the  & scientific calculator of KeySoft. '  ( Press READ with CALC to announce the current time. )  * Press CONTROL with CALC to insert the calculator result  + into a document. ,  - DIARY.Press F6, the DIARY key, to directly access the KeyPlan  . calendar and diary. /    Press READ with DIARY to announce the current date.   Press SHIFT with DIARY to announce your next   appointment.    Press CONTROL with DIARY to insert the date into a   document.    LIST.Press F7, the LIST key, to directly access KeyList, the   address list manager. 	  
 Press READ with LIST to access the Keyboard Voice   function, which allows you to change the way KeySoft   voices keyboard entries. 
   TERM.Press F8, the TERM key, to directly access the KeyTerm   communications package.    Press READ with TERM to access the Review Voice   function, which allows you to change the way KeySoft   voices punctuation and numbers during reading.    SLOW.Press F9, the SLOW key, to slow down the rate of   speaking, or press SHIFT with SLOW to lower the pitch   of the speech.    FAST.Press F10, the FAST key, to speed up the rate of   speaking, or press SHIFT with FAST to raise the pitch   of the speech.    QUIETER.Press F11, the QUIETER key, to reduce the speech volume   if you are using a Keynote Gold VoiceCard.  This key   does nothing if you are using another type of    synthesizer. !  " LOUDER.Press F12, the LOUDER key, to increase the speech  # volume if you are using a Keynote Gold VoiceCard.  This  $ key does nothing if you are using another type of  % synthesizer. &  ' Any further function keys, such as PAUSE / BREAK or SYSTEM   ( REQUEST, are not used by KeySoft. )  * 2.3.4   Main Keyboard Keys With Special Uses. +  , CONTROL.The CONTROL key is used with other keys throughout  - KeySoft's operations to give various editing functions  . such as deleting sections of text, accessing the  / spelling    checker, etc.  Its use is always associated with   changing something, and it does nothing on its own.    READ.This key is labeled ALT, but is called READ in this   manual.  The READ key is one of the most important keys   in the KeySoft system.  It is used in combination with   other keys to read text, move around a document, or   access other KeySoft functions.  The READ key is always   associated with reviewing or hearing something; it does  	 nothing on its own. 
   SHIFT.There are generally two SHIFT keys, one at each end of   the second row. 
   Hold down the SHIFT key while pressing another key to   produce the upper case of a letter key, or the upper   character of a numeral or symbol key.  The SHIFT key   does nothing if pressed on its own.    TAB.Press to move the cursor to the next tab position. In   the calendar TAB moves the date by a year.    SPACE BAR.  This is the long bar at the bottom of the keys.    Press the SPACE Bar to insert a single space into the   document in the same way as on a typewriter.    INSERT.Press in the Diary to schedule appointments, and in the   Address List to add a new address record.    DELETE.Press to delete the character at the cursor position.     UP ARROW.Press to move vertically up a document page, back a  ! week in the calendar, back a record in the Address  " List, and to move up to the "parent" in navigation of  # disk drive directories. $  % PAGE UP.Press to move up one page in the document. It is also  & used in the KeyPlan diary and calendar. '  ( On some portable computers, PAGE UP may be obtained by  ) holding down a special key and pressing UP ARROW. *  +    DOWN ARROW.Press to move vertically down a document page,   forward a week in the calendar, and forward a   record in the Address List.    PAGE DOWN.Press to move down one page in the document. It is   also used in the KeyPlan diary and calendar.    On some portable computers, PAGE DOWN may be obtained   by holding down a special key and pressing DOWN ARROW. 	  
 LEFT ARROW.Use in Menus, Lists or Directories to back up or   reverse to the previous item in the list.   
 HOME.Press to move to the start of the current line.    On some portable computers, HOME may be obtained by   holding down a special key and pressing LEFT ARROW.    RIGHT ARROW.Use in Menus, Lists or Directories to advance to   the next item in the list.    END.Press to move to the end of the current line.    On some portable computers, END may be obtained by   holding down a special key and pressing RIGHT ARROW.    ENTER.Normally the right-hand key on the home row.    When you are typing a document, press ENTER to force a   new line to start from the left margin.    ENTER is also used throughout the operation of KeySoft    as a response to prompts for information such as a  ! filename or page number.  "  # BACKSPACE.Press to delete the last character entered. $  % 2.4     The Main Menu. &  ' The entry point to KeySoft is the Main Menu.  A menu is a list of   ( the options available to you at that point.  KeySoft uses menus   ) to allow you to choose from a    range of options.   Press the HELP key for instructions on how to    review the menu.    2.4.1   Reviewing The Main Menu.       Press the RIGHT  ARROW key to  hear the first  item of the      Main Menu.    KeySoft prompts:  "Wordprocessor". 	  
 The Wordprocessor option is used for creating or editing a   document, performing file manipulations such as copying and   erasing, and printing documents. 
      Press the RIGHT ARROW key again.    KeySoft prompts:  "Scientific Calculator".    This option is KeyPlus, the scientific calculator.       Press the RIGHT ARROW key again.    KeySoft prompts:  "Diary".    The option is KeyPlan, the calendar and diary. Appointments   may be scheduled with or without alarms.       Press the RIGHT ARROW key again.    KeySoft prompts:  "Address List".    This option is KeyList, the address list manager, which can    be used to be add, look up, change, and copy address  ! records. You can also use KeyList to dial a person's  " telephone number. #  $    Press the RIGHT ARROW key again. %  & KeySoft prompts:  "Communications". '  ( This option is KeyTerm, which may be used to access computer  ) information services. *  +    Press the RIGHT ARROW key again. ,  - KeySoft prompts:  "Utilities". .  /    This option is used to select the pronunciation dictionary, file    transfers to other computers, date and time setting, and disk    formatting and renaming.       Press the RIGHT ARROW key again.    KeySoft prompts:  "MS-DOS"    This accesses the MS-DOS operating system, which is only  	 important if you wish to perform DOS commands.  KeySoft does  
 not require the use or understanding of DOS.  If MasterTouch   is installed on your computer, you may use the DOS option to   run an application program.  These topics are discussed in  
 Chapter 12.    If you inadvertently enter MS-DOS, type "exit" and press   ENTER to return to KeySoft.       Press the RIGHT ARROW key again.    KeySoft prompts:  "Keyboard learn".    You may learn the keyboard layout in this mode.  As you press    each key, or key combination, its function is spoken.  If you    select the Keyboard learn mode, you may press ESCAPE to leave it    and return to the KeySoft main menu.       Press the RIGHT  ARROW key once  more.  The  final item on      the Main Menu is the software  Serial Number and Copyright      announcement.   Note the Serial  Number of your system, it is    important if  you require software  updates or service.        If you press the RIGHT ARROW key again, !  " KeySoft prompts:  "End of Menu" #  $ You can step back through the menu by using the LEFT ARROW key.    % Step back through the menu now with the LEFT ARROW key. &  ' If you don't want to hear a complete prompt being spoken, you can   ( cut it off and move onto the next item by pressing the   ) appropriate ARROW key.  This instant cut off of voicing when a   * new command key is pressed will occur at all points in KeySoft. +  , 	   2.4.2   Selecting From The Main Menu.	  	  There are two ways you can make a selection from the Main Menu or  	  any other menu.  One way is to move along the menu with the ARROW  	  KEYs, as in the previous section, until KeySoft speaks the option  	  you want, and then press ENTER.  Alternatively, press the initial  	  letter of the option you require.  For instance, press W to  	  select the Wordprocessor, or C for the Communication Menu.  You  	  can do this at any point in the menu.	 	 	 
 To become familiar with these selection processes, make a  	  selection from the Main Menu, then return by pressing the MENU  	  key.  Repeat this process with different choices using the two  	 
 alternative selection methods.  Avoid selecting the DOS option at  	  this stage, as it requires you to type "EXIT" to return to the  	  Main Menu.	  	  Pressing the HELP key at any point in the Main Menu will explain  	  these options.	  	  2.5     Keysoft's Menu Structure.	  	  During your experiments with selecting items from the Main Menu,  	  you may have noticed that following your initial selection, you  	  were most likely presented with a further menu.	  	  This menu structure is an important aspect of KeySoft, as it  	  allows similar functions be grouped together.  This is analogous  	  to the Restaurant Menu which typically has groupings for soups,  	  starters, fish, steak, sweets, etc.	  	  We will not attempt to list all of KeySoft's Menu structures  	   here, but the following example should serve as a guide. KeyWord  	 ! Menu - Presented when you choose the Wordprocessor option from  	 " the Main Menu.  This menu contains three items, namely; Edit a  	 # File, Print a File, and File Commands.  These three areas are all  	 $ related to typical word-processing operations.	 % 	 & If you select the File Commands option, you will be presented  	 ' with the File Commands Menu which contains six options.  After  	 ( you have gained familiarity with KeySoft you will be able to  	 ) quickly navigate your way around the menu structure, simply by  	 * pressing the first letter of each selection.	 + 	 , For example, if you were at the Main Menu, and you required the  	 - "Copy a File" option from the File Commands Menu, you would type  	 . in W F C.  This can be 
   done as quickly as you can type.  In the early days, you can use  
  the ARROW keys and ENTER to navigate your way through the  
  different menus.
  
  2.6     Carousel Keys.
  
  KeySoft's carousel feature allows any KeySoft program to pop up  
  from another.  You can switch between KeyWord, KeyPlus, KeyPlan,  
  KeyList, and KeyTerm.  For example, if you are working in a  
 	 document in KeyWord and you want to check your appointments for  
 
 next week, you can jump directly to the KeyPlan diary.  After  
  completing the diary access you can jump straight back to the  
  same point in the document.
 
 
  To pop up a program from another program without going through  
  the Main Menu:
  
  For KeyWord, press      WORD, which is Function key 4.
  For KeyPlus, press      CALC, which is Function key 5.
  For KeyPlan, press      DIARY, which is Function key 6.
  For KeyList, press      LIST, which is Function key 7.
  For KeyTerm, press      TERM, which is Function key 8.
  
  Try pressing some of these keys now.  Remember, you can always  
  get back to the Main Menu by pressing the MENU key, which is  
  Function key 3.
  
  2.7     A First Experience.
  
  Let's look at a typical scenario, so that you may experience  
  first hand the ease and convenience of using KeySoft.
  
   You have decided to purchase a new stereo sound system, and have  
 ! chosen to pay it off over 12 months at $62.70 per month. You need  
 " to check the total amount paid, write a letter to Brown's Sound,  
 # and make an appointment to learn how to operate the new sound  
 $ system.
 % 
 & First of all, we will assume that you are talking to Brown's  
 ' Sound over the telephone and you wish to enter their address  
 ( details and your appointment into KeySoft.
 ) 
 * Start KeySoft and press the MENU key, Function key 3, so that we  
 + have a common starting point.  Remember!  Use the HELP key if you  
 , get stuck.
 - 
 .    Press the LIST key, Function key 7, to enter the KeyList Menu.    Press RIGHT ARROW until you hear "Add Address", then press ENTER.     KeySoft will announce, "Entry list for Address Notebook".  Press    the RIGHT ARROW key once, and:         At the "Surname" prompt, type "Jones", and then press the    ENTER key.    You need to press the ENTER key after each item is added to the   	 address list. 
   At the "First name" prompt, type "Peter".  At the "Title" prompt, type "Mr." 
 At the "Position" prompt, press ENTER.  At the "Organization" prompt, type "Brown's Sound".  At the "Street Address" prompt, type "12 Main Road".  At the "City" prompt, type "Boston".    Press ENTER at each of the subsequent prompts, until you hear the    prompt "Phone".  Type "123 4567".    Other details may be put into the address list, but we will not    do that now.  To add the new address, press the INSERT key.     KeySoft will advise that the address has been added, and return    you to the KeyList Menu.    You are now ready to make your appointment to receive training.    Press the DIARY key, Function key 6, to enter the KeyPlan    calendar.  KeySoft will prompt you to type ENTER to select    today's date.  We could choose another day, month, or year at    this point, but to keep things simple, just press ENTER.    ! Now let's assume you wish to set an appointment for 4.30 pm. "  # Press CONTROL with INSERT to start the appointment scheduling   $ process.  KeySoft will ask you to confirm that you still want the   % current date.  Press ENTER to confirm. &  ' At the prompt, "Appointment Time", type 4 "colon" 30p and  ( then press ENTER. (This assumes 12 hour time format). )  * At the prompt, "Appointment Title", type "Brown's Sound  + Training". ,  - At the prompt, "Do you wish to set an alarm on this  . appointment", type Y. /  0    At the prompt, "Warning time", type 40 to give you 40   minutes notice of your appointment.    You can now finish your telephone conversation, and start writing    your letter.    Press the WORD key (Function Key 4), and at the "File name"    prompt, type Brown's Sound.  KeySoft will tell you that the file    does not exist, and ask you to confirm that you wish to start a   	 new file.  Press Y to confirm. 
   You may find it convenient to copy the street address of Brown'    Sound from the address list, and insert it into the letter you   
 are writing.  This feature is described in Chapter 9.8.    You can now type whatever you wish.  As a final example of the    power and flexibility of KeySoft, let's work out the total cost    of your stereo deal.    Press the CALC key (Function key 5) to pop up the KeyPlus    calculator. Type in 12*62.70 and press ENTER.  For the    multiplication sign you may use the COMMA key, or SHIFT with 8.     You should get the answer 752.40.  If you need to clear the    calculator, press CONTROL with I.    To return to your letter, press the WORD key, Function key 4.    KeySoft will announce "KeyWord.  Resuming Edit of Brown's Sound",    and return you to the exact point where you left the file.  You    can even insert the result of your calculation into your letter,    but we will not cover that here.  Refer to section 6.13 if you    wish to find out about this feature.     You would now usually check your letter for format and spelling   ! accuracy, before exiting to the KeyWord Menu and choosing the   " Print option to print your document.  Because we have not covered   # any of these aspects of KeySoft, we will end this short tutorial   $ at this point by pressing MENU, Function key 3, to return to the   % Main Menu. &  ' 2.8     Keysoft's Voice Characteristics. (  ) A number of functions are available to control the way in which   * KeySoft speaks. +  , KeySoft has in effect two voices.  The first of these, called the   - Keyboard Voice, is associated with how the keyboard entries are   . announced during typing.  The second, called the Review Voice, is   / associated with reading back and reviewing your text. 0 
   Both voices are subject to common controls for pitch and speed.
  
  2.8.1   Keyboard Voice.
  
  KeySoft can speak your keyboard entries as you type.  This is  
  called "echo".  There are three ways you can choose the voice to  
  echo your keyboard entries.
  
     Press READ  with Function  Key  7 to  access  the keyboard
 	    voice.
 
 
  KeySoft prompts:  "Keyboard voice, currently words"
  
 
 The possible responses are:
  
     Press F to turn the keyboard echo off altogether.
  
     Press W to have complete words only spoken.
  
     Press S to spell the words as they are typed.
  
     Press ENTER to leave the setting unchanged.
  
  If you forget these options, just press the HELP key.   KeySoft's  
  default setting is "Words".  If you are learning the keyboard you  
  may prefer the "Spell" option.  If you are able to type quickly,  
  the words mode or silent mode should be selected.
  
  After a selection is made, you are immediately returned to the  
  point at which you pressed the Keyboard Voice key.
  
  Keyboard Voice may be selected at any point in the operation of  
   KeySoft. 2.8.2   Review Voice Key.
 ! 
 " The Review Voice key, READ with Function key 8, allows a choice  
 # of five different levels of punctuation to be spoken when  
 $ reviewing a document.  This allows you to examine a document in  
 % great detail if you wish it to be free of errors, or to simply  
 & read the text.  It also allows you to select whether numbers are  
 ' to be spoken as words or digits.
 ( 
 )    When you first select Review Voice, READ with Function key
 *    8,

 , KeySoft prompts:  "Punctuation level? Currently (n)"
 - 
 . where n is the level from 1 to 5.  1 is the lowest level of 
 / punctuation pronounced, 5 is the highest.  The default 
 0 setting is 2.     At level 5 all characters are spelt out, along with all   punctuation.   At level 1, no punctuation is announced.     The intermediate levels are specified in Appendix A.       To select a  particular punctuation  level, type  a number     from 1 to 5.    KeySoft prompts:  "Number Format?  Currently (Words)" 	  
 The options are W (words) to cause numbers to be spoken as   words, or D (digits) to cause numbers to be spoken digit by   digit. 
      Press W or D to select the preferred option.    If you select the word format, the number 1942 would be spoken as    nineteen forty two, since it would be assumed to be a date.   The sequence $25.15 would be spoken as twenty five dollars and    fifteen cents.    If you select the digits option, numbers will be spoken literally    digit by digit.   The choice is a matter of personal preference.     To leave a setting unchanged, you can always press ENTER, rather    than enter a new value.    After you have selected words or digits, you are immediately    returned to the point from which you pressed the REVIEW VOICE    key.    2.8.3   Speech Rate Keys.     Function Keys 9 and 10 slow down or speed up the speech rate.   ! They are labeled SLOW and FAST respectively. "  # The FAST key speeds up the speech rate by one step each time it   $ is pressed.   There are 16 possible rates. %  & The SLOW key slows down the speech rate one step each time it is   ' pressed. (  ) 2.8.4   Speech Pitch. *  + The Function keys which alter speech speed also change the speech   , pitch.  To reduce the pitch of the speech, hold the SHIFT key and   - press Function key 9.  To raise the pitch, press SHIFT with   . Function key 10.  Each press changes the pitch by one step, and   / there are 16 possible pitches.  The choice of pitch is purely a   0 matter of personal preference.   2.9     Where To Now?.    At this point you will be familiar with the keyboard layout, and    will have gained experience in selecting items from KeySoft's    menu structure.    The convenience of using the carousel keys; WORD, CALC, DIARY,    LIST, and TERM has been demonstrated in the short tutorial    provided in section 2.8, "A First Experience". 	  
 You will no doubt already have appreciated many of the concepts    explained at the beginning of this chapter.  They make KeySoft    extremely friendly to use.  Please make frequent use of the HELP   
 key, it's a valuable source of information, whatever part of    KeySoft you are using.    Where you go from here is up to you, but we can make some    suggestions.  If you are new to KeySoft, we suggest you work    through Chapters 3 to 5 which provide an introduction to the    KeyWord wordprocessor, file handling, and document printing. You    can then read Chapter 7 on the Calculator, Chapter 8 on the    Diary, Chapter 9 on the Address List, or Chapter 10 on    Communications, depending on your interest and requirements.    End of Chapter 2.      
